Dealership AI needs permissions, not just a prompt

Useful AI starts with a clear task, appropriate access, and a way to review what happened.

Separate an answer from an action

Asking AI to summarize a report is different from asking it to change a customer record or send a message. The first produces information for someone to evaluate. The others change the business or communicate on its behalf.

A dealership should make that distinction explicit. For each proposed use, identify what the AI may read, what it may change and where approval is required. A friendly conversational interface should not obscure the authority behind an action.

Start with a task you can evaluate

A practical first experiment is narrow: use sample data to summarize a queue, explain a report or draft an internal checklist. Decide in advance what a correct result looks like, then compare the output with the underlying records.

Look for omissions as well as obvious errors. A fluent summary can leave out the one exception a manager needed to see. Keep the source information accessible and make it clear when an answer is based on incomplete data.

As an experiment expands, consider access scope, action logs and the process for stopping or correcting an operation. NIST’s voluntary AI Risk Management Framework is a useful reference for thinking about risks throughout the design, use and evaluation of AI systems; it is linked below.

Choice of AI should come with clear responsibilities

NXTdeal’s approach is to let dealerships use a supported AI connection through the web experience, a compatible client or NXTdeal Engine. The platform does not supply unlimited AI usage; provider costs and connection requirements are separate.

Bringing your own AI does not make data responsibilities disappear. Before using a connection with real customer information, understand what it receives and whether the relevant workflow has been approved for that use.

Our security page describes readiness requirements rather than claiming every protection is already verified. The objective is useful assistance within clear boundaries. We want the dealer to understand the action being taken, the information behind it and the permissions that allow it.
