Look beyond the monthly software bill
A useful cost comparison includes the work between systems, the contract terms, and the cost of making a change.

Begin with a workflow, not a list of subscriptions
Two dealerships can buy the same software and experience very different operating costs. The difference may be the work surrounding it: re-entering information, reconciling reports or waiting for a change that only one person knows how to make.
Before comparing quotes, choose a real workflow. Follow a vehicle from acquisition through preparation, advertising, sale and delivery. Write down every system involved, every handoff and every point where someone has to recreate information.
Make the hidden work visible
For each handoff, record who does the work, how often it happens and what goes wrong when it is missed. Use observed times from your own team rather than a vendor’s promised savings. A five-minute task may be trivial once a week and significant when repeated throughout the day.
Add the commercial details alongside that map. Separate package fees, additional seats, optional departments and third-party usage. Identify minimum terms, prepayment conditions and the process for adding or removing capabilities. Monthly billing does not necessarily mean a month-to-month contract.
Finally, consider the transition. Migration, training and running two systems during a change are real work. A lower subscription price does not automatically make an immediate replacement the best decision.
Compare outcomes on the same basis
A useful comparison holds the scope constant. Include the same locations, staff roles, workflows and usage assumptions on each side. Mark missing information as unknown rather than quietly treating it as free.
NXTdeal’s planned packages separate Basic access, Full Access seats and department add-ons. Published monthly prices require a 12-month contract; prepaying one, two or three years offers a 10%, 20% or 30% discount. Taxes and third-party charges remain separate.
Our goal is to make the platform affordable and the decision understandable. Your own workflow map should determine whether it is a good fit, which existing tools should stay, and where a change would actually help.
